The Challenge
The client received fire-incident alerts from multiple sources but lacked a streamlined system to qualify, contact, and book restoration leads. Their existing manual process was slow and inconsistent, resulting in missed opportunities and high overhead. They also believed their service model was exempt from telemarketing rules, which created dangerous legal exposure under TCPA.
The Solution
The OA Team built a TCPA-compliant, multi-channel lead automation system integrating CRM, AI chatbot, and outreach tools for a national restoration firm. The platform centralized six alert sources into one streamlined pipeline, enabling real-time lead scoring, data enrichment, and coordinated outreach across SMS, email, voicemail, and postcards—all while maintaining strict compliance with consumer protection laws.
We architected a full-stack automation platform integrating:
Inbound alert ingestion from six data sources via webhooks
Deduplication & scoring logic (3-day window, tiering, exclusion rules)
Address validation & enrichment using PropertyRadar, LexisNexis, and Whitepages
Multi-channel outreach across SMS, voicemail, email, and postcards
Custom Rasa chatbot for lead qualification, consent capture, and scheduling
Zoho Bookings + DocuSign for contract management and e-signature flow
Daily summary emails (morning and evening) with color-coded priority headers
Logging and compliance tracking through OneTrust and TCPA Guard
Manual CSV sync to Restore 365 (no direct API)
Certain components were deferred until consent workflows could be confirmed to ensure full TCPA compliance and prevent any illegal autodialer activity.
The Impact
The Fire Alert System transformed a previously manual, reactive process into a streamlined, data-driven workflow. By automating the ingestion of 132 alerts per day into a unified CRM pipeline, the system produced an average of 69 qualified leads daily while ensuring that high-priority opportunities were routed immediately for human response.
Tiered outreach strategies combined with A/B-tested email and postcard campaigns, improved engagement and lead quality, while a 50% chatbot qualification rate demonstrated strong conversion efficiency. Most importantly, the compliance-first architecture eliminated illegal autodial risk, giving the company a scalable foundation for growth within legal boundaries and setting the stage for full launch within one week of SMS system completion.
